What each role can open
Owner and Admin manage the workspace. Both can:
- Invite, change and remove members, and revoke a teammate's linked WhatsApp number, in Settings, then Members.
- Open Analytics, Audit and Tags in the sidebar, and the Billing tab in Settings. Members do not see any of these.
- Create events, set up the team card template and turn on auto-sync in Connections.
Member is for the people who capture leads. A member can:
- Edit their own card, email signature and meeting background.
- Capture leads and see them in Captures. A member can correct or delete only the captures they made.
- Link their own WhatsApp number and connect their own CRM account in Connections.
- Join an event, when the setting in Events lets teammates join.
Viewer is also in the Role list. It has no admin access, the same as Member.
If a member opens an admin page by its address, RareMachine shows You don't have access to this page and a line saying who can use it, for example Only workspace owners and admins can view the audit log.
Change a teammate's role
Open Settings and choose Members
In Settings, choose the Members tab. The Role column shows each person's role.
Open the person's menu
On their row, open the menu at the right end (Actions for their name) and choose Change role….
Pick the new role and save
Choose a Role and then Update role. The new role applies the next time that person acts.
Result: the Role column shows the new role.
Invite someone with a role
Choose Invite member, enter an Email, pick a Role and choose Send invitation. The person joins with that role when they accept.
Frequently asked questions
Can I change my own role?
No. Your own row in Members has no menu, so ask another owner or admin.
Can a workspace have no owner?
No. Removing or demoting the last owner is refused. RareMachine shows “Cannot remove the last owner from the workspace” or “Cannot change role — workspace must have at least one owner”. Make someone else an owner first.
Who can give someone the Owner role?
Only an owner. The Owner choice does not appear in the Role list for anyone else.
