Terms of service
These terms govern your use of RareMachine. They are written to be read, not to be survived.
Last updated 18 September 2026
1. The agreement
RareMachine is provided by Whitesense AI Technologies Private Limited (“we”, “us”). By creating a workspace or installing our app into your CRM, you agree to these terms on behalf of the organisation you represent, and confirm you are authorised to do so.
2. What the service does
RareMachine helps your team capture and act on leads — through a WhatsApp agent, digital business cards, QR-code capture, events and CRM sync — and connects to the CRM or ERP you already operate. We are an interface to your system of record. We are not the record itself, and we do not warrant the accuracy of data your CRM returns.
3. Your account and your team
- You are responsible for who you invite into your workspace and what they do in it.
- Only an owner or admin may connect or replace the workspace's CRM account. Each teammate separately authorizes their own personal CRM access.
- Keep your credentials secure and tell us promptly if you believe they are compromised.
4. The agent, approvals and your responsibility
Every action that writes to your CRM requires a human approval before it runs, and every action — approved, denied, failed or rejected — is recorded in an audit trail you can inspect. That design is deliberate, and it is also where responsibility sits: an approved action is your action. AI systems make mistakes, including confident ones. Review what you approve.
Writes may trigger automation inside your own CRM — workflows, assignment rules, blueprints. We do not suppress your automation by default, because silently skipping it would be a worse surprise than firing it.
5. Acceptable use
- Do not use the service unlawfully, or to process data you have no right to process.
- Do not attempt to access another customer's workspace or data.
- Do not probe, scrape or overload the service, or circumvent its rate limits.
- Do not use it to send unsolicited messages in breach of WhatsApp's own policies.
6. Third-party services
The service depends on third parties — your CRM, the WhatsApp Business Platform, our AI gateway and model provider, and our hosting. Their availability and their terms are outside our control. The current list is on the sub-processor page.
7. Fees
Pricing is described on the pricing page. We will tell you what you owe before anything is billed, and give notice before a change takes effect.
8. Data
How we handle data is set out in the privacy policy, which forms part of these terms. In short: your CRM remains the system of record, and we do not keep a durable copy of its contents.
9. Availability and support
We aim for the service to be available and useful, but we do not currently offer a contractual uptime commitment. If you need one, talk to us. Support channels are listed on the support page.
10. Termination
You may stop using the service at any time by disconnecting your CRM or deleting your workspace; doing so revokes our access tokens immediately. We may suspend an account that breaches these terms, or that puts the service or other customers at risk.
11. Liability
To the maximum extent permitted by law, the service is provided as-is, and our aggregate liability is limited to the fees you paid us in the twelve months before the claim. Nothing here limits liability that cannot lawfully be limited.
12. Changes and governing law
We will update the date above when these terms change, and give notice of material changes. These terms are governed by the laws of India.
