Email signatures
Every teammate signs off the same way. None of them touch HTML.
An owner sets the logo, the colour and the legal footer once. Everyone else fills in their own name and title, presses copy, and pastes a finished signature into whichever mail client they already use.
Branding lives in one place
The logo, brand colour, font, banner and disclaimer belong to the workspace, not to each person’s copy of a signature. Change the logo once and every signature built from the template is drawing from the new one — nobody has to be chased, and nobody has to rebuild anything.
Control without a permissions matrix
Brand fields are never editable by a member — not in any mode, not by mistake. Personal fields are theirs by default, which is what stops a signature tool from becoming a ticket queue. When a team genuinely needs a signature frozen, one switch locks that person’s signature to owners and admins, and the rest of the team is unaffected.
Copy once, paste anywhere
The copy button puts real rich content on the clipboard, not markup — so pasting into Gmail, Outlook web or Apple Mail gives a formatted signature rather than a screenful of angle brackets. The signature itself is plain table-based HTML, which is the only thing that survives Outlook on Windows intact.
What this doesn’t do yet
Worth knowing before you switch, rather than after.
- No automatic deployment. We don’t connect to Google Workspace, Entra ID or Okta and write signatures into people’s accounts. Each person pastes their own — which also means nothing of ours sits in the path of your mail.
- A pasted signature is a snapshot. Change your branding and your team re-copies. We don’t serve it as a hosted image that quietly updates itself in mail you’ve already sent — that trick costs you image-blocking recipients and both major mobile mail apps.
- No banner campaign scheduling or click analytics. You can set a banner. You can’t schedule one to expire, or measure clicks on it.
Set the branding once. Let the team get on with it.
Email signatures are included with every RareMachine workspace — there’s no separate signature seat to buy.
