Offline is the floor, not the fallback.
Expo halls have the worst connectivity on earth. When capture is a WhatsApp message, the outbox carries every handshake through the dead zone, and nothing has to be typed again later.

The dead-zone problem
Direct answer: an expo hall is a connectivity black hole: concrete walls, a handful of access points shared by every phone in the building, and every team uploading photos at lunch. The teams that treat signal as guaranteed are the teams whose Friday booth ends with a row of “sync failed” icons.
The fix is not better signal — you cannot fix someone else's venue. It is making the no-signal condition invisible to the capture. The phone should never be the thing that decides whether a handshake becomes a record.
Whatever happens in the hall waits in the outbox
Direct answer: with RareMachine a capture is a WhatsApp message, so the phone already knows how to hold it: a card photo, a typed note or a voice note sits in WhatsApp's own outbox and sends the moment there is signal. RareMachine reads it when it arrives, attributes it to the event and replies in the same chat. The lead is captured at the handshake, not at the Wi-Fi.
Scan now, “sync later”
Friday: 60 cards in a bag, thirty “will sync” screenshots of failure. Monday: 34 typed up, 12 lost to memory and rotated screens.
Outbox → lobby Wi-Fi → sent
Friday: 60 card photos sent into WhatsApp, waiting in the outbox. Lobby Wi-Fi: every one sent, read and attributed on arrival. Monday: the approved ones are already in the CRM.
Design for the worst connectivity, and the good days take care of themselves. There is no second app with its own queue to trust: the outbox that survives a concrete basement is the same one every rep already uses for every other message.
What the rep sees, in words
Direct answer: a capture is only trustworthy if the rep can tell where it is. Because it is a WhatsApp message, the rep reads its progress the way they read any message, and RareMachine's reply says what happens next.
The clock icon: the message is in WhatsApp’s outbox on the phone. It was taken at the handshake and will not be re-entered later.
The phone found signal and WhatsApp delivered the message. Nothing for the rep to do.
RareMachine replies in the same chat with what it read from the card or note, attributed to the event the rep is rostered on, and, unless the admin has turned on auto-sync, asks before anything is written.
Approved by the rep, or by the admin’s auto-sync setting, and saved to HubSpot, Zoho CRM or Frappe CRM. The leaderboard counts it in the event’s own time zone.
Never lose a handshake to a dead zone.
Capture everything in the hall. WhatsApp sends it the moment there is signal. Approve what reaches the CRM.
Questions, answered
What happens to a capture made without connectivity?
With RareMachine a capture is a WhatsApp message, so WhatsApp itself holds it in the outbox, with the clock icon showing, and sends it once the phone finds signal. RareMachine reads it when it arrives, attributes it to the event and replies in the same chat. Nothing reaches the CRM until it is approved.
Can card photos and voice notes wait offline too?
Yes. A card photo, a typed note and a voice note are all ordinary WhatsApp messages, so all of them wait in the WhatsApp outbox the same way and send when signal returns. RareMachine has no separate offline queue; it processes each message on arrival.
Is offline capture harder to set up?
No. There is no offline mode to enable and no app to install: the outbox is WhatsApp’s own, so it works the same on every rep’s phone from the first message.
